The EQRC notebook / Managing your codes

Can you edit a QR code after printing? Check what it contains first

You have printed the cards, and now the link or content needs to change. Whether the existing code can keep working depends on what was encoded when you created it.

Identify the code before changing anything

Look up the original code in the account or tool that created it. Check whether it is a dynamic code with a managed destination or a static code containing a fixed URL, text or other information. Appearance alone does not tell you which kind it is.

You cannot import an arbitrary printed code into a new service and gain control over its existing destination. If another provider manages its short link, updates need to happen with that provider or through a destination you already control.

For a dynamic code, edit the destination or content

Open the existing code in your dashboard and update the relevant content. For a website QR, that may be a corrected address. For a hosted page, it may be a new menu description, contact detail or document. Save the change and keep the same code record.

Then scan an original printed copy. Confirm the full destination, including outside links, rather than checking only the builder’s preview. If the information is time-sensitive, ask another person to verify it on their phone as well.

  1. Confirm you are editing the code used on the printed material.
  2. Make the smallest content change needed and save it.
  3. Scan the original print in a fresh browser session.
  4. Check the visible content and the main action.
  5. Record the update and tell anyone responsible for the materials.

For a static code, check what you still control

A static QR containing a website URL cannot change that encoded address. But if you control the website at that address, you may be able to update its page or configure an appropriate redirect there. That is a website change, not an edit to the QR pattern.

If the code embeds incorrect text, a changed Wi-Fi password or an address you cannot control, you need a new QR image. Replace the printed material or cover the old code with a tested replacement that does not leave competing symbols visible.

Separate content changes from visual changes

Changing the frame, colors or logo in the builder produces a new visual asset. It cannot recolor ink already on a card. Existing dynamic prints can continue to reach updated content, but they retain their original appearance.

Download and reprint when you want the visual design to change. Test the new version for contrast and scan reliability, especially if the update adds a logo or changes the symbol’s size.

Check availability as well as correctness

A correct dynamic destination still needs an active service. If a code is paused, outside its schedule or attached to an inactive account, editing the content alone may not restore the visitor journey. Check the status shown in your dashboard and the applicable plan.

Keep the intended lifespan in mind before sending anything back to print. Assign an owner for future updates, and make sure old handouts still lead somewhere understandable after a campaign, class or event has ended.
